  • Office Administrator

Lead the Future of Building Automation with AirKind

Are you an organized, proactive professional who thrives in a fast-paced environment and loves pivoting between tasks to keep things moving?

Join AirKind, a pioneering startup transforming the building automation industry with our cutting-edge Climate Intelligence™ technology.

As our Office Administrator, you will be the operational backbone of our Milwaukee headquarters – running the office, supporting our logistics team, tracking inventory, managing POs and invoices, submitting utility rebate applications, and jumping in wherever the team needs a hand, whether that’s a warehouse run or a vendor visit.

    In This Role, You Will

    • Own day-to-day office operations at AirKind HQ – managing mail and deliveries, maintaining office supplies and equipment, and keeping common spaces organized and running smoothly.
    • Assist the Logistics team with coordination and administrative support – helping with shipments, vendor follow-ups, and warehouse tasks when an extra set of hands is needed.
    • Manage purchase orders, process invoices, and track inventory across office supplies, IT equipment, and production-related materials – keeping records accurate and up to date.
    • Monitor team travel spend and negotiate preferred rates with hotels, airlines, and other providers; assist team members with travel bookings when needed.
    • Process expense reports, receipts, and credit card reconciliations in partnership with the finance team; maintain accurate records and flag discrepancies.
    • Build and maintain vendor relationships – IT, facilities, shipping carriers, and office services — negotiating where useful and anticipating needs before they become interruptions.
    • Support hiring and onboarding by coordinating candidate interviews, preparing new-hire workstations and equipment, and managing onboarding paperwork.
    • Plan and execute team events, all-hands meetings, customer visits, and the occasional off-site – handling everything from catering to AV setup.
    • Pivot fast between priorities – one hour you’re processing a PO, the next you’re driving to the warehouse or meeting a vendor. Comfort switching context is essential.
    • Maintain internal documentation, shared drives, and operational records with a bias toward clean, organized systems that anyone on the team can navigate.

To Thrive in This Role, You’ll Need

    • An early-career mindset and a genuine interest in operations – we’re looking to hire and coach a junior professional with strong instincts and drive, not a specific number of years on a resume.
    • Agile, adaptable mindset – you can shift from a desk task to a warehouse run to a vendor meeting without losing a beat.
    • Exceptional organizational skills: you juggle competing priorities without dropping details, and you build systems instead of just reacting.
    • Hands-on experience with purchase orders, invoice processing, and inventory tracking. (Preferred)
    • Strong written and verbal communication – you represent AirKind professionally with vendors, candidates, customers, and the leadership team.
    • Comfort with Google Workspace (Gmail, Drive, Calendar, Docs, Sheets) and quick to learn new software tools.
    • A proactive, self-directed mindset – you see what needs doing and move on it without waiting to be asked.
    • Discretion and professionalism when handling confidential information, HR matters, and financial records.
    • Experience supporting a logistics, warehouse, or supply chain function. (Preferred)
    • Familiarity with expense or AP tools (Expensify, Ramp, Brex, Bill.com) or basic bookkeeping platforms (QuickBooks). (Preferred)
    • Familiarity with inventory management systems or ERP tools. (Preferred)
